This policy covers the RUObuilt website and our application form. It's written to be read, not to be survived. The short version: we collect what you type into the application, we use it to decide whether to work with you and to contact you about it, and we don't sell it to anyone.
[[LEGAL_ENTITY_NAME]], doing business as RUObuilt, [[BUSINESS_ADDRESS]]. Questions, requests, or complaints: hello@ruobuilt.com.
We are the controller of the personal information described here. Separately, when we build and operate a store for a client, we act as that client's processor for their customers' data, and that relationship is governed by the data processing terms in our service agreement rather than by this policy.
| What | Where it comes from | Why |
|---|---|---|
| Name, email, phone, preferred call time | You, on the application form | To evaluate your application and contact you about it |
| Business information: brand name, product category, supplier status, capital position, timeline, budget range, traffic plan, obstacles, existing links | You, on the application form | To decide whether we can do useful work for you, and to prepare for the call |
| Referral source and campaign parameters (UTM tags, click identifiers), referring page | Automatically, from the link you arrived on | To understand which ads and referrals are working |
| IP address, browser and device type, pages viewed, timestamps | Automatically, from your browser and our host | Security, fraud prevention, and basic site analytics |
| Emails, calls, and messages between us | Our correspondence with you | To run the engagement and keep an accurate record of what was agreed |
| If you become a client: signing details, agreement version, IP and timestamp at signature, payment records | You and our payment processor | To perform the contract, meet tax and accounting obligations, and respond to payment disputes |
We do not knowingly collect information from anyone under 18, and this site is not directed at children. We never ask for and never want your card number by email or phone. Payments are handled by our payment processor and card details never touch our systems.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We have not done so in the preceding twelve months.
Only with service providers who need it to help us operate, and only for that purpose. That set currently includes our website host, our database provider, our transactional email provider, our internal messaging tool, our scheduling tool, and our payment processor. Each is bound by contract to use the information only on our instructions.
We may also disclose information where the law requires it, in response to a valid legal request, to establish or defend a legal claim, or in connection with a sale or reorganisation of the business, in which case this policy continues to apply to the transferred information.
The application form stores your answers in your own browser's local storage so a refresh doesn't erase your progress. That data stays on your device and is cleared when you submit. We use minimal first-party analytics to count page views and measure which campaigns bring applications. If we later add third-party advertising or analytics tags, we will update this policy and, where required, ask for consent first.
Wherever you live, you can ask us to show you what we hold, correct it, or delete it. Email hello@ruobuilt.com and we'll respond within 45 days. We'll ask you to confirm your identity first, and we'll never treat you worse for making a request.
If you are in California, you also have the right to know the categories and specific pieces we've collected, the right to delete, the right to correct, the right to limit use of sensitive personal information (we don't collect any), and the right to opt out of sale or sharing (we don't sell or share). If you are in Colorado, Connecticut, Virginia, Texas, or another state with a comprehensive privacy law, you have equivalent rights, including the right to appeal a refused request. To appeal, reply to our decision and say so; we'll respond in writing.
Under UK or EU law, our bases for processing are performance of a contract, our legitimate interest in evaluating and pursuing business enquiries, and compliance with legal obligations. You may object to processing based on legitimate interests, and you may complain to your supervisory authority.
Submitting an application means you're asking us to get back to you, so we'll email and call you about it. Every marketing email we send has a one-click unsubscribe, and unsubscribing never affects an application or an engagement in progress. We do not send marketing text messages. If we ever do, we'll ask for separate, express written consent first.
We use encryption in transit, access controls, and least-privilege credentials, and we limit who can see application data to the people who have to. No system is perfectly secure, and we won't claim otherwise. If a breach affects your information, we'll notify you and the relevant regulators as the law requires.
If we change this policy we'll update the date at the top. For a change that materially affects your rights, we'll email applicants and clients whose information is affected rather than quietly editing the page.
